GDPR
We have developed the GDPR suite for vtenext, an official tool for the proactive management of GDPR procedures, in line with the provisions of the European Data Protection Authority.
The vtenext suite is based on the two master modules
1) Processing Register
2) Collaborator Management
The Data Processing Register is an important tool for mapping all types of personal data relating to natural persons managed by each company (both as Data Controller and Data Processor). Completing the mapping allows the company to assess the adequacy of its security measures based on the risk associated with the processing, in line with the requirements of the new GDPR.
The Employee Management feature allows you to inform all your employees and/or collaborators, through convenient emails with links to track the viewing of documents (privacy policy, appointment to data processing, confidentiality agreement, etc.) in full compliance with the provisions of the GDPR Directive.

Processing
The register allows, for each contract and/or type of contract, to define the type of appointment in place (Owner, Manager, etc.), the classification of the data processed in the contract, distinguishing simple identification data, such as name, surname, etc. from data subject to special treatment (political beliefs, religious beliefs, etc.).
The compilation of all the necessary data is supported by a convenient WIZARD that guides the user through the completion of the register.
Once the personal data fields have been filled in, the Wizard allows you to note the data storage method, indicating whether the storage medium is physical (e.g. paper) and/or electronic.
It is also possible to set the expiration date for consent to processing and, through the vtenext processes and BPM engine, send warnings and alerts or automatic emails requesting renewal of consent to the data owner.
This simple process eliminates any possibility of error and protects against infringements of the directive and possible sanctions.
Staff Management
The Employee Management module is designed to process employee and/or collaborator data and is particularly useful for companies with a large number of employees.
Once the personal data of the collaborators has been entered into vtenext, the module allows the sending of documents to all staff (e.g., privacy information, internal regulations, appointment to data processing, confidentiality agreement, etc.) and tracks their access through a unique electronic key associated with the employee that is deleted with the first click. The CRM will thus be able to record and archive the document reading confirmation provided directly by the user.
The module also allows you to monitor, thanks to vtenext’s BPM processes, the deadlines relating to training activities planned for staff, allowing the company to quickly and effectively manage renewals, thus avoiding incurring any legal penalties for mandatory training.
